Privacy Policy

Summary in plain English

GoDispatchPro is dispatch and lead-routing software for small trades businesses. We collect the data we need to run the product: your business info, your team's accounts, the leads and customers you load into the system, and basic billing info via Stripe.

We don't sell your data. We don't share it with advertisers. Your customers' info belongs to you, not to us. If you cancel, we delete your data after 30 days unless you ask us to delete it immediately.

Who we are

GoDispatchPro is a product of Aether Business Intelligence Systems ("we," "us," "our"), registered in California, United States. You can reach us at support@godispatchpro.com for any privacy question or request.

What we collect

From you (the account holder)

  • Account info: name, business name, email, phone number, password (hashed, never stored in plain text).
  • Billing info: handled by Stripe. We see the last 4 digits and card type for receipts; Stripe holds the full card number.
  • Authentication tokens and session cookies needed to keep you signed in.

From your team members (reps you invite or add)

  • Name, email, phone, and the zip-code regions assigned to them for lead routing.
  • Activity inside the product (which leads they've contacted, when they sent estimates, etc.).

From your customers (the leads you receive)

  • Name, phone, email, service address, job description, and any photos or notes you or the customer add.
  • SMS and email logs related to the customer interactions GoDispatchPro sends on your behalf.

You are the controller of your customers' data. We process it on your behalf to provide the dispatch service.

Automatically

  • Basic usage logs (which pages you visit inside the app, error reports).
  • IP address and browser type, for security and abuse prevention.

How we use it

  • Run the product: route leads to your reps, send SMS confirmations, deliver estimates, generate AI summaries.
  • Authenticate you and your team and keep accounts secure.
  • Bill your subscription and send receipts.
  • Respond to support requests.
  • Improve the product (anonymized usage patterns, not individual customer data).

We do not use your customer data to train AI models. We do not sell or rent your data. We do not show your data to advertisers.

Third-party services we use

Running a modern SaaS requires several specialized services. Each one only sees the data it needs to do its job:

  • Supabase — database, authentication, and file storage. Hosted in the United States.
  • Vercel — application hosting and content delivery.
  • Stripe — payment processing. Stripe stores card numbers; we do not.
  • Twilio — sending SMS messages and routing phone calls.
  • Resend — sending transactional email (estimate delivery, account notifications).
  • Anthropic (Claude) — AI features like auto-reply drafting and the in-app rep assistant. Customer data passed to Claude is not used to train Anthropic's models per their API terms.
  • Google Cloud — OAuth sign-in only. We see your name and email when you sign in with Google.

How long we keep your data

  • Active account: as long as you have an account with us.
  • Cancelled account: 30 days after cancellation, then permanently deleted. You can request immediate deletion before that.
  • Backups: included in the same 30-day window above.
  • Billing records: retained for as long as required by US tax and accounting laws (typically 7 years).

Your rights

You can, at any time:

  • Access your data through the product or by request.
  • Export your leads, estimates, and customer records as CSV.
  • Correct any inaccurate info on your account.
  • Delete your account (Settings → Account → Delete, or by email).
  • Ask us what data we have about you.

California residents have additional rights under the CCPA, including the right to know what categories of data are collected and the right to opt out of any sale (we don't sell data, but you can still confirm that in writing). New residents of other states with similar laws (VA, CO, CT, UT) have similar rights. Email support@godispatchpro.com to exercise any of these. Security

  • All connections to GoDispatchPro use HTTPS (TLS).
  • Database access is gated by Row Level Security — every query is automatically scoped to your company.
  • Passwords are hashed with industry-standard algorithms (bcrypt-family); we cannot see them in plain text.
  • Service-role keys and API tokens are stored as encrypted environment variables, not in code.
  • If we ever experience a data breach affecting your account, we will notify you without undue delay.

Children

GoDispatchPro is a business product. We do not knowingly collect data from anyone under 16. If you believe a minor has created an account, email us and we will delete it.

International users

GoDispatchPro is operated from the United States and hosted on US infrastructure. If you use the product from outside the US, you consent to your data being transferred to and processed in the US. We do not currently sell to EU residents and we are not GDPR-certified; if you are an EU-based business, please contact us before signing up.

Changes to this policy

We will update this page when our data practices change. Material changes will be announced via email to active account holders at least 14 days before they take effect. Continued use of the product after the effective date constitutes acceptance.
